HypeHobby field manual

Start with what you need to do.

This guide covers the public shop, customer account, inventory operations and administration. Features appear only when your role has permission to use them.

Customer journey

Shop, compare and checkout

  1. Discover a product.Use All products, Shop by hobby, global search, or Find your hobby. Filter by category, location, budget, product type, scale, experience, build level, power system and intended use.
  2. Review the details.Open a product to check its exact variant, SKU, specifications, required accessories, live branch availability, safety notes and source information.
  3. Confirm compatibility.Open Parts finder, choose the owned model and use only relationships marked Exact Fit, Compatible, Requires Adapter or Requires Modification. “Compatibility Not Verified” is not a fit claim.
  4. Choose a variant and branch.The product page updates availability automatically. Select the required SKU and pickup location before choosing a quantity.
  5. Add to cart.Unavailable Contact Store and out-of-stock products cannot be added. The server checks stock again when the item enters the cart and at checkout.
  6. Complete checkout.Choose guest or registered checkout, delivery or store pickup, address, configured payment method, coupon, gift card and eligible Trail Credits. Prices are calculated in Philippine pesos by the server.
  7. Track the order.Keep the confirmation reference. Signed-in customers can open Orders; guest customers use the confirmation link created for their order.

Scan, configure and anticipate

Scan and Know

Open Scan and use the camera, a USB/Bluetooth scanner, or type the exact SKU/barcode. Customers see specifications and branch availability. Staff see cost, balances, movements, purchase orders and adjustment controls only when their permissions allow it.

Smart Concierge

Open Concierge, choose hobby, experience, build level, scale, terrain, budget and maintenance preference. Results are scored from stored catalog attributes and current stock; blank fields remain flexible.

Build Studio

Open Build Studio, select components and choose Check compatibility. A stored Not Compatible rule blocks the build; Requires Adapter is shown as a warning; unknown pairs remain explicitly unverified.

Interactive Parts Map

Customers open Parts map, select a model and click a numbered hotspot. Staff publish maps from Content & community: choose the model, use its existing product photo or attach a diagram, select a verified compatible part and click its location on the image. Existing markers can be clicked and moved.

Digital Passport

Add an owned model to My Garage, then open Digital Passport. Record purchase and warranty dates, maintenance interval, modifications and service history. Public sharing is off until the owner enables the opaque passport link.

Forecasting and Story Mode

Authorized staff use Forecasting for stock-out dates and suggested PO quantities, then Story Mode for a presentation summary. Figures use recorded sales, reservations, supplier lead time, incoming stock and delayed POs.

Your account and collection

Wishlist and comparison

Use Save on a product card or page. Wishlist keeps a shortlist. Compare shows the published attributes side by side. Hidden products disappear automatically.

Saved searches

Apply catalog filters, select Save search and give the search a useful name. Reopen it later to run the same filter against current catalog data.

Add an owned model, private serial number, modifications and build photo. Record maintenance dates and use the model as the starting point for parts discovery.

Save delivery addresses for registered checkout. Trail Credits shows points earned, redeemed, reversed and expired.

Staff workflow

Products and live inventory

  1. Open Inventory.From the Operations desk choose Inventory. Search or filter by category, brand, supplier, stock status, visibility, warehouse and update date.
  2. Create the product and variant.Use New product. Enter the product identity, variant, unique SKU, barcode when known, supplier, unit cost, selling price, category, brand and image path. Add additional variants from Manage.
  3. Publish specifications.Use Content & community → Publish product specifications for model number, official source, descriptions, inclusions, required items, safety, warranty and category-specific attributes.
  4. Record opening stock.Open Manage → Adjust stock, select Initial stock, enter a positive whole quantity, provide the opening-count reason and confirm. Do this once per variant and location.
  5. Set thresholds.Use Reorder settings for reorder level, reorder quantity and overstock level at each location.
  6. Control visibility.Use the Visible/Hidden switch for one product, or select products and run Show, Hide, Archive or Restore. Hiding preserves stock, images, orders and history.
  7. Correct stock safely.Post Manual adjustment, Damaged item or Lost item with confirmation and a reason. Completed movements cannot be edited or deleted; corrections use a new adjustment.

Stock rule: Available stock equals Physical stock minus Reserved stock. Incoming and damaged quantities are tracked separately and are not sellable.

Counter workflow

Complete an in-store sale

  1. Open Point of sale.Choose the branch serving the customer. The screen is available only to roles with Point of sale permission.
  2. Scan or search.Use a USB/Bluetooth scanner, the camera button in a compatible browser, or type a barcode, SKU or product name. Exact codes are prioritized.
  3. Review the basket.Check the variant, branch, quantity, current available stock and Philippine Peso total. Out-of-stock and unallocated preorder quantities cannot be sold.
  4. Choose the customer.Search a verified registered customer by name or email to place the completed purchase in their account history. Leave it unselected for a walk-in sale and enter optional receipt details instead.
  5. Record payment.Cash calculates change from the tendered amount. GCash, Maya, Card and Bank transfer require the actual transaction reference.
  6. Complete and print.Confirm payment and handover, complete the sale, then print the receipt. The cashier, branch, order and stock movement are recorded together.

Stock safety: The server locks and rechecks every selected balance before it deducts stock. A duplicate submission returns the original receipt and never deducts the items twice.

Purchase orders and transfers

Receive supplier stock

  1. Create or verify the supplier.
  2. Create a draft purchase order for one destination branch.
  3. Add variants, quantities, expected date and unit costs.
  4. An authorized user approves the purchase order.
  5. Receive accepted and damaged quantities with a unique delivery reference.
  6. Repeat receiving for partial deliveries until complete.

Accepted units increase physical stock. Damaged delivery units are segregated. Both create permanent movement records.

Transfer between locations

  1. Create the transfer request with source, destination, items and reason.
  2. Approve it to reserve source stock.
  3. Mark it In transit when dispatched.
  4. The destination confirms Completed after physically receiving it.

Destination physical stock increases only at receiving confirmation. Cancelled approved transfers release the reservation.

Orders, reservations and returns

Order lifecycle

Submitted → Confirmed → Paid → Packed → Completed

Checkout reserves available units. The configured deduction milestone consumes physical and reserved quantities once. Paid status requires a payment reference.

Cancellation or expiry

Cancelled, rejected or expired unfulfilled orders release their remaining reservations. A completed or consumed line cannot be silently cancelled.

Customer return

Open the completed order and record the returned quantity and reason. Sellable returns restore physical stock; damaged returns go to damaged stock. Return totals cannot exceed fulfilled quantities.

Preorders

A preorder can record demand beyond available stock, but no negative stock is created. Fulfillment can allocate the line only after real stock arrives.

Scan and Know Exact SKU/barcode lookup with customer-safe or permission-controlled staff detail.
Forecasting Demand velocity, stock-out dates, lead-time risk and staff-reviewed purchase suggestions.
Story Mode Presentation-ready narrative generated from current operational records.

Quick reference

Stock and product statuses

In Stock
Available quantity is above the reorder level.
Low Stock
Available quantity is positive and at or below the reorder level.
Out of Stock
No available quantity. Purchase is disabled unless preorder is enabled.
Reserved
Units are held for submitted or confirmed work and remain part of physical stock until consumed.
Incoming
Approved purchase or dispatched transfer units not yet received into physical stock.
Hidden
Preserved in administration and history, removed from public discovery.
Archived
Soft-deleted from active use while all records remain intact.
Discontinued
Kept for history or reference and unavailable for purchase.

When something does not look right

Common checks

Cannot see a product

Check Visible/Hidden, Archived, Discontinued and automatic zero-stock hiding. Confirm the selected branch and catalog filters.

Cannot add to cart

Check current available stock, variant and branch, Contact Store status, preorder setting and whether another order reserved the remaining quantity.

Cannot use an admin action

The server enforces permissions. Ask an administrator to review Team & access; signing in with another browser tab does not grant missing permissions.

Numbers changed while viewing

Catalog and inventory screens refresh automatically. Checkout validates the database again, so the most recent committed movement always wins.

Need to reverse a movement

Do not edit the ledger. Post a new adjustment or the correct return, cancellation, supplier-return or reverse-transfer workflow with a clear reason.
